Small Event Quick Safety Checklist

This checklist supports smaller events where roles may be combined. Minimum required roles:

• Event Manager
• Principal Race Officer (PRO)
• Event Safety Officer (ESO)

1. Before the Event

• Confirm Event Manager, PRO, and ESO are appointed.
• Ensure all combined roles are understood and responsibilities covered.
• Check weather forecast, tide times, and local harbour movements.
• Review the Event Safety Plan and SSOG guidance.
• Confirm number of competitors and expected craft.
• Ensure safety boats are fuelled, equipped, and staffed.
• Verify VHF radios are charged and channels agreed.
• Ensure First Aid kit and AED access are available.

2. Site & Equipment Setup

• Slipway and beach areas clear and safe.
• Compound organised with safe walkways.
• Mark layers and safety boats allocated simple patrol zones.
• Flag D ready for controlled release.
• Tally system prepared (wristbands or simple sign‑out).

3. Briefings

• Short safety briefing for volunteers and safety boat crews.
• Confirm:
  • Weather limits
  • Patrol areas
  • VHF channels
  • Emergency Landing Point
  • Ambulance arrival point (///slices.booms.fruity)
• Competitor briefing covering:
  • Launching procedure
  • Course area
  • Retirement procedure
  • Safety expectations

4. Launch & Racing

• Minimum safety boat cover confirmed before launching.
• Flag D used to release competitors.
• Safety boats spread across course area.
• Monitor weather changes and visibility.
• Retiring competitors escorted to shore.

5. Emergency Actions

• Significant injury: Declare Code Red, escort to Emergency Landing Point.
• Ambulance required: ESO and Medic (if present) informed immediately.
• 999 call from water: Only if life is in imminent danger.
• Fog: No launching; recall fleet if visibility drops below 1000m.
• Strong wind: Follow class limits and PRO/ESO guidance.

6. After Racing

• Competitors escorted back to shore.
• Safety fleet stood down once all tallies returned.
• Record any incidents or near‑misses in the Online Accident Book.
• Short debrief if required.
